Requirements & Qualifications

National Diploma (NQF 6) in Public Administration or relevant qualification within the related field as recognised by SAQA. A minimum of three (3) years of experience in Administration or relevant field.

Duties

Provide strategic planning and reporting support. Provide document management support (preparation of documents packs, filing, recording). Provide administration support services. Coordinate branch meetings and do follow-up as well as management of all administrative issues. Ensure coordination, consolidation and implementation of actions emanating for the Executive Management meetings. Liaise with internal and external stakeholders. Provide support on the coordination of parliamentary questions and queries/referrals, as well as stakeholder engagements. Receive all Cabinet documents. Coordinate the processing of all logistical documentation in the Chief Financial Officer’s office i.e travel request; S&T, cellphone claims, 3G. Provide budget, expenditure and procurement administration support. Assist in ensuring compliance in document management in the office of the Chief Financial Officer. Provide support in coordination and consolidation of the branch inputs into strategic, business plans, and Annual Performance Plans (APPs). Provide support in the coordination and consolidation of monthly, quarterly, bi-annal and annual, oversight reports. 

Candidate Profile

All shortlisted candidates shall undertake two pre-entry assessments. One will be a practical exercise to determine a candidate’s suitability based on the post’s technical and generic requirements and the other must be an integrity (ethical conduct) assessment. Knowledge of Strategic coordination/ planning; Business planning; Report/professional writing; Business process management. Knowledge of Risk management Audit procedures. Skills: Organising skills; Facilitation skills; Communication skills (Verbal and Written). Computer literacy. Ability to communicate with ministries, senior management, officials and the public in a professional manner. Ability to work individually and in a team. Good interpersonal relations. Ability to work with difficult persons and to resolve conflict. Knowledge of Public Service and Departmental procedures and prescripts. Service orientated Self supervision, ability to protect the confidentiality of documents. A highly developed sense of honesty.
